Privacy Policy

The short version. We collect your name, phone number and enough detail about the job to do the work and call you back. We use it to quote, schedule and service your equipment, and to keep a service history so the next technician knows what is already installed.

We do not sell your information, ever. We do not share it for advertising. We only send you marketing email if you tick the box asking for it, and you can stop it at any time. Analytics only starts if you press Accept on the cookie banner.

If you want to see what we hold about you, correct it, or complain, contact our Privacy Officer in section 11.

1. Who we are, and what this covers

Streamline Refrigeration Inc., operating as Streamline Refrigeration ("we", "us", "our"), is a heating, ventilation, air conditioning and commercial refrigeration contractor serving the Lower Mainland and Fraser Valley in British Columbia.

This policy covers personal information we collect through this website (streamlineref.ca), by phone, by email, and in the course of doing work at your home or business.

"Personal information" means information about an identifiable individual. It does not include business contact information used only to contact you in your capacity as an employee of an organisation.

2. The law that applies

We are a private-sector business operating in British Columbia, so we are governed by British Columbia's Personal Information Protection Act (PIPA). PIPA sets the rules for how we may collect, use, disclose and protect your information, and gives you the right to see and correct it.

Two other laws also apply to specific things we do:

  • The federal Personal Information Protection and Electronic Documents Act (PIPEDA) applies where personal information crosses a provincial or national border. Some of our service providers store data outside Canada — see section 8.
  • Canada's Anti-Spam Legislation (CASL) applies to the marketing email we send. See section 7.

We are not established in the European Union and do not target our services there, so the GDPR does not govern our processing. If you are contacting us from outside Canada, your information will be handled under Canadian law.

3. What we collect

3.1 When you contact us through this website

Our three forms — the homepage request, the contact page and the booking flow — collect only what is needed to call you back and do the work:

Name Required. So we know who we are speaking to.
Phone number Required. This is how we confirm the appointment. It is the only channel we promise a response on.
Email address Optional. Used for written quotes and confirmations.
City Required on the contact and booking forms, so we can assign a technician in your area.
Service address Booking form only. We cannot attend a job without it.
Service needed, timing, and your description of the problem So the technician arrives with the right parts and the right expectations.
Maintenance reminder opt-in Optional, off by default. See section 7.

3.2 What the website collects automatically

  • Standard server records. Our host, Google Firebase Hosting, logs the usual technical details of each request — IP address, browser type, the page requested, and the time. This is ordinary web-server operation and is used for security and diagnosing faults.
  • Analytics, only with your consent. See section 6.
  • Three small records stored in your own browser. These stay on your device and are never transmitted to us: your answer to the cookie banner and when you gave it, and the timestamps of recent form submissions, which is how we rate-limit spam.

3.3 When we do work at your property

In the course of quoting and completing a job we may also record equipment makes, models and serial numbers, the work performed, photographs of the equipment and installation area, meter and gas-fitting details required for permits and inspections, and your service history with us. Where a rebate program such as CleanBC or BC Hydro requires it, we may handle the information those programs ask for in order to submit an application on your behalf.

3.4 What we deliberately do not collect

Worth stating plainly, because these are the things people reasonably worry about:

  • The heat pump rebate estimator does not send us anything. It asks about your household income range and property value to work out which rebate tier applies. Those answers are calculated entirely inside your own browser. Nothing is transmitted, nothing is stored, and we never see it. You can use the estimator without telling us anything at all.
  • No payment information is collected on this website. There is no online payment, no card form and no shopping cart.
  • We do not collect information from children. This is a contractor's website intended for property owners, managers and tenants.
  • Our forms contain a hidden anti-spam field. If it is filled in — which only an automated bot would do — the submission is discarded and never sent anywhere.

4. Why we collect it

Under PIPA we must tell you our purposes and stick to them. We use your information to:

  • respond to your enquiry and call you back;
  • prepare quotes and provide the service you asked for;
  • schedule and dispatch technicians;
  • invoice you and keep the business records the law requires us to keep;
  • maintain a service history, so a future visit is informed by what is already installed;
  • meet permit, inspection, gas-fitting, safety and warranty obligations;
  • submit rebate applications where you ask us to;
  • send maintenance reminders, but only if you asked for them;
  • understand, in aggregate, how the website is used, so we can improve it.

If we ever want to use your information for a genuinely new purpose, we will ask you first.

5. Consent, and how to withdraw it

By submitting one of our forms or calling us, you consent to us using your information for the purposes in section 4. That consent is the basis on which we do the work.

You can withdraw consent at any time by contacting our Privacy Officer. Two honest caveats:

  • If you withdraw consent for information we need to do a job, we may not be able to continue the work.
  • Some records we are legally required to keep — invoices, permits, gas-fitting and safety documentation — cannot be deleted on request until their retention period has passed. We will tell you which category applies.

6. Cookies and analytics

This site uses Google Analytics 4 to count visits and understand which pages and services people are looking for.

Nothing loads until you accept. Before you press Accept on the cookie banner, no request is made to any Google server and no analytics cookie is created. If you press Decline, nothing is loaded at all — not a reduced version, nothing. The website works identically either way.

If you accept, we use Google's Consent Mode with advertising storage, advertising personalisation and ad-user-data all set to denied. We use analytics only. We do not run advertising or remarketing pixels, and we do not use Google Ads on this site.

What analytics records: pages viewed, approximate location at city level, device and browser type, how you arrived at the site, and specific actions — tapping a phone number, starting or submitting a form, progressing through the booking steps, and using the rebate estimator. Your IP address is anonymised by Google before storage.

What analytics never receives: your name, phone number, email address, service address, or anything you typed into a form. When you submit a form we record only that a submission happened, plus the service type and city.

Your cookie choice is remembered for one year, then we ask again. You can change your answer at any time by clearing this site's data in your browser settings, or by contacting us.

7. Maintenance reminder emails

Our forms include an unticked box offering seasonal maintenance reminders. If you tick it, that is your express consent under CASL, and we record the date and time you gave it.

If you do not tick it, we will not add you to any mailing list. Submitting a service request does not sign you up for marketing.

Every marketing email we send will identify us, give a valid mailing address, and include a working unsubscribe link that we action within 10 business days as CASL requires. Unsubscribing from reminders does not affect emails about a job you have actually booked — quotes, appointment confirmations and invoices are not marketing.

8. Who we share it with, and where it is stored

We do not sell your personal information. We do not rent, trade or share it for anyone else's advertising.

We share it only with service providers who need it to help us operate, and only for that purpose:

Google (Firebase Hosting) Serves this website. Holds standard server logs. Data may be processed in the United States.
Google Analytics Website statistics, only if you consented. Processed in the United States.
Web3Forms Delivers your form submission to our inbox. Data may be processed outside Canada.

We may also disclose information where the law requires it — to a permitting authority or safety inspector, to an insurer in relation to a claim, to our professional advisers, or where we are compelled by a court order or a lawful request from a public body. If our business is ever sold or reorganised, customer records may transfer as part of it, and this policy would continue to apply.

Storage outside Canada

You should know, and PIPA requires us to tell you, that some of the providers above store and process information outside Canada, principally in the United States. While information is in another country it is subject to that country's laws, and may be accessible to its courts and law-enforcement or national-security authorities. We use providers that contractually commit to protecting the information, but we cannot override foreign law.

If this concerns you, phone us on 604-773-5104 instead of using the form. A phone enquiry does not pass through any of the website providers above.

9. How long we keep it

We keep personal information only as long as we need it, or as long as the law requires — whichever is longer.

Enquiries that do not become jobs 12 months, then deleted.
Customer and service records 7 years after the last service, which supports warranty claims and matches ordinary business-record retention.
Invoices and tax records Six years from the end of the tax year they relate to, as required by the Canada Revenue Agency.
Permit, gas-fitting and safety documentation As long as the applicable regulations require.
Marketing consent records For as long as you are subscribed, plus 3 years, so we can demonstrate consent if asked.
Website analytics Retained by Google for 14 months, then automatically deleted.

Under PIPA, where we have used personal information to make a decision that directly affects you, we keep it for at least one year afterwards so you have a reasonable chance to ask for access to it.

10. How we protect it

We use security measures appropriate to how sensitive the information is:

  • The whole website is served over HTTPS, so anything you type into a form is encrypted in transit.
  • Access to customer records is limited to staff who need it to do their job.
  • Accounts used to access customer data are protected by individual passwords, with multi-factor authentication where the provider supports it.
  • Devices holding customer information are password-protected.
  • The website carries a content-security policy that prevents an injected script from sending data to an unauthorised destination.
  • Paper records, where we hold them, are kept secured at our premises and destroyed securely.

No system is perfectly secure, and we will not claim otherwise. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Information and Privacy Commissioner for British Columbia without unreasonable delay, tell you what happened and what information was involved, and explain what you can do about it.

11. Your rights: seeing and correcting your information

Under PIPA you have the right to:

  • Ask what we hold about you, how we have used it, and who we have disclosed it to;
  • Ask us to correct anything inaccurate or incomplete;
  • Withdraw your consent, subject to the caveats in section 5;
  • Ask us to delete information we no longer have a legal or business reason to keep.

Write to our Privacy Officer using the details below. We will respond within 30 business days, as PIPA requires. If we need more time we will tell you why, and how much longer we need. There is no charge for a routine request; if a request is unusually large we will give you a written estimate before doing any work, and you can withdraw or narrow the request.

To protect you, we will confirm your identity before releasing anything. We may withhold information where PIPA allows or requires it — for example where releasing it would reveal personal information about someone else, or where it is subject to solicitor-client privilege. If we do, we will tell you why.

12. If you are not satisfied

Please raise it with our Privacy Officer first — most issues are a misunderstanding we can fix quickly.

If you are still not satisfied, you have the right to complain to the independent regulator:

You do not need our permission to contact them, and doing so costs nothing.

13. Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top. If a change is significant — a new purpose, a new category of information, or a new provider outside Canada — we will make that clear rather than quietly editing the text.
